How you'll fit in:

The CSG Justice Center is primarily funded by grants and contracts from federal, state, and local governments and from philanthropic foundations. The contracts and grants specialist will report to the deputy division director of finance to ensure that these vital funding sources are well managed.


The contracts and grants specialist will work with the deputy division director of finance on all contract- and grant-related issues. The person in this position will work with CSG Justice Center staff, as well as staff of the Council of State Governments headquarters office, to help ensure that the CSG Justice Center executes grant agreements and subcontracts in a timely manner; submits accurate bills and progress reports to our funders; makes timely payment of invoices from subcontractors and vendors; and is compliant with all grant and contract terms and conditions.


What you'll do:

Specific responsibilities of the contracts and grants specialist include the following:


Contracts:

  • In conjunction with CSG's legal department, draft contracts and amendments for CSG Justice Center consultants, subcontractors, and vendors.
  • Maintain consistent and clear communication with program leads regarding the status of contracts and invoices related to projects they oversee, helping to ensure the timely execution of contracts and payment of vendors.
  • Update the encumbered and other contracts in the staffing plan in a timely manner.
  • Review and sign contract invoices for processing.
  • Participate in, develop, and conduct trainings to increase our staff's knowledge of our contracting process and their role in ensuring that it functions well.

Grants:

  • Create invoices and track accounts receivable for foundation and state and local grants.
  • Maintain databases for subawards and letters of agreement.
  • In conjunction with headquarters, ensure financial compliance with federal, state, and local regulations and foundation guidelines, as applicable.
  • Work closely with funders, subcontractors, and headquarters to ensure accurate and timely billing and payments for foundation grants and state and local contracts.
  • Prepare, upload, and monitor grant project encumbrances monthly.
  • Track financial deliverables associated with grants/contracts.
  • Coordinate with the director of foundation relations to report to staff monthly regarding grants ending and reports due to funders.
  • Coordinate with headquarters in preparing and reporting financial information to funders.

Other:

  • Assist with coordination of special projects as assigned by the deputy division director, including program planning, budget building and presentation, and research.
  • Implement new systems for managing reports and communicate financial information to CSG Justice Center staff.
  • Other duties as assigned by deputy division director, Finance & Accounting

  • At least two years of experience working in nonprofit finance and administration, including direct experience in contracts and compliance
  • Bachelor's degree (required)
