To learn more about CSG please visit our website at www.csg.org. We are currently seeking an Operations Manager at our Lexington, KY national headquarters office. 

The Operations Manager supports the daily activities of the Center of Innovation. The manager is responsible for leadership staffing, maintaining work systems and procedures that ensure a productive and efficient operation which encourages performance of people and resources.  The position serves as an ambassador providing exceptional customer service to CSG leadership, staff, members and stakeholders. 

The Operations Manager will:

  • Be an embodiment of the family-friendly culture at CSG by being a knowledgeable resource that proactively anticipates and identifies the needs of the department to enhance performance;
  • Partner effectively with CSG leadership, staff, constituents, members and consultants ensuring goals are achieved;
  • Proactively oversee the coordination of the CPPO's schedule, time commitments and travel needs;
  • Proactively provide staff support for the CPPO and colleagues working on policy projects, programs and technical assistance;
  • Assist and coordinate in the development, preparation and delivery of programs, initiatives and services as directed. May include the compilation and production of agendas, meeting materials and presentations, coordinating with internal and external stakeholders, assist with on and offsite events;
  • Management of complex travel arrangements for all department staff and members. Ensure travel is within the budget, reconcile travel reimbursements and hold staff accountable for submitting reimbursements in a timely manner;
  • Oversee the onboarding process for all new staff;
  • Oversee the CSG fellowship program for undergraduate and graduate students including attending intern fairs, interview and selection, onboarding, assignments, performance review and exit;
  • Serve as the liaison and primary contact between the department and accounting regarding all budget and finance-related issues including training;
  • Review, monitor and track policy budgets and monthly financial statements via accounting applications and other methods including all departmental authorizations, expenses, invoices (A/R and A/P) and credit cards. Communicate regularly with CPPO and Deputy Director regarding budget anomalies, irregularities and ensure proper reconciliation of all monthly transactions;
  • Prepare memos, meeting minutes and briefing materials as requested;
  • Draft professional business letters and correspondence;
  • Actively participate in staff meetings and discussions;
  • Manage relationships with other policy partners and proactively communicate with leadership as changes occur and needs of the department evolve;
  • Lead and continuously improve workflow within the department; manage timelines and provide staff support for work plan development;
  • Maintain an accurate calendar of all group travel, CSG convenings, staff out-of-office commitments, vacations, etc.; maintain access to group staff calendars;
  • Coordinate the submission and approval of all staff timesheets;
  • Coordinate the timely completion of all staff performance reviews

Skills & Abilities

  • Skill and competence to work effectively with a myriad of federal and state officials, including high level executive, legislative, judicial officials and CSG leaders, staff and external partners.
  • Demonstrated ability in time management.
  • Ability to effectively communicate with internal and external customers.
  • Demonstrated ability to organize, prioritize and effectively manage and complete simultaneous projects and programs with a strong attention to details.
  • Strong writing and organizational skills; the ability to communicate effectively both verbally and in writing with business contacts in a responsive, courteous and professional manner.
  • Motivated self-starter, adaptable, resilient and customer service oriented.
  • Demonstrated expertise in Microsoft Suite (email, meeting, resource and calendar management), as well as other applications such as internet and electronic databases.
  • Ability to act independently and to exercise initiative to achieve goals and objectives while handling multiple complex tasks and assignments concurrently.

Experience 

  • Ability to maintain confidentiality and handle politically sensitive work.
  • Two years' experience working as a business manager and/or project manager.
  • Work experience in federal or state government, association management, non-profit management or public administration preferred.
  • Proven experience in a customer service role having demonstrated excellent customer service, organizational skills with an attention to details.
  • Proven business and financial acumen. Experience with grant funding preferred.

Education Requirements

  • Bachelor's degree in business, business management, executive administration, or related field required.

  • Periodic business travel including travel by car/and or airplane.
