The American Probation and Parole Association (APPA), an affiliate of The Council of State Governments (CSG), is an international association composed of members from the United States, Canada and other countries actively involved in community corrections which includes pretrial, probation, and parole in both criminal and juvenile justice arenas. All levels of government including federal, state/provincial, local and tribal agencies are counted among its constituents. By taking the initiative, APPA has grown to become the voice for thousands of pretrial, probation and parole practitioners and providers of services including at all levels from both the public and private sectors. JOB SUMMARY

The Financial Grants Associate position performs general accounting, bookkeeping, and financial tasks, as well as administrative and clerical duties for APPA's externally-funded projects.  This is a part-time position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Review, analyze and process project related expenses.
  • Monitor project finances and serve as liaison between APPA and CSG accounting department.
  • Initiate contractual agreements with third parties on projects.
  • Assist with coordination and submission of applications for external funding, including the development of budget detail worksheets and narratives.
  • Assist with the preparation of any prior approval requests required by funders for project meetings.
  • Assist with logistical planning for project related events.
  • Handle outgoing correspondence, memoranda, reports and e-mailing lists as requested by staff.
  • Coordinate mass mailings for project deliverables.
  • Maintain project files/databases and information, as requested.
  • Assist with other projects and APPA-related activities, as needed.

SKILLS AND ABILITIES

  • Proficiency in financial management processes, including creating and maintaining budgets.
  • Knowledge of non-profit business and financial standards.
  • Familiarity with federal and private grant-making practices and budget requirements.
  • Ability to organize, prioritize and complete multiple projects in a detail-oriented manner.
  • Skill and competence to work independently and ability to multi-task.
  • Self-motivated, able to take initiative and see complex tasks through to completion.
  • Ability to work collaboratively with multiple internal and external partners.
  • Knowledge of office practices and procedures.
  • Knowledge of grammatical standards and the ability to adhere to those standards.
  • Skill to operate various office equipment (e.g., computer, printer, copier, and fax machine).
  • Ability to communicate, both verbally and in writing, with business contacts in a courteous and professional manner.
  • Proficiency in Microsoft Office, specifically Word, Excel, Outlook, and Access, and the willingness and ability to learn new systems.

 

 

EXPERIENCE AND EDUCATION REQUIREMENTS

  • Minimum of two (2) years of work experience with financial management processes including creating and maintaining budgets. 
  • Minimum of two (2) years of work experience with federal and private grant-making practices and budget requirements.
  • Bachelor's degree preferred or associate degree with a minimum of 5 years of the above work experience is required.
